Privacy Policy

This Privacy Policy explains how HummingAgent ("HummingAgent," "we," "us," or "our") collects, uses, discloses, and protects personal information in connection with the FleetAgent AI website at fleetagentai.com (the "Site") and the FleetAgent AI voice agent service (the "Service"). FleetAgent AI is a HummingAgent product.

Information we collect on the Site
When you visit the Site, we may collect:
- Contact information you provide, such as your name, email address, company name, and phone number, when you book a call or email us.
- Usage data, such as pages viewed, referring pages, approximate location derived from IP address, browser type, and device information, collected through standard server logs and any analytics tools we use.
- Scheduling information you submit through third-party booking tools (for example, Calendly) when you book a consultation. Those tools handle your data under their own privacy policies.
Information we collect through the Service
The Service answers telephone calls on behalf of our business clients, such as fleet operators and logistics companies. When you call a phone line answered by the Service, we may collect:
- Call audio. Calls may be recorded so that our clients receive an accurate record of the conversation.
- Call transcriptions and summaries generated from the call audio.
- Information you provide during the call, such as your name, company, callback number, vehicle or unit identifiers, load references, locations, and the reason for your call.
- Call metadata, such as the calling number, the number dialed, and the date, time, and duration of the call.
AI and recording disclosure
Calls answered by the Service are handled by an artificial intelligence assistant, and callers are informed at the beginning of the call that they are speaking with an AI assistant. Where call recording is enabled, callers are notified that the call may be recorded or transcribed. If you do not wish to be recorded, you may end the call and contact the business through another channel.
How we use information
We use the information described above to:
- Provide, operate, maintain, and improve the Site and the Service.
- Deliver call summaries, logs, transcriptions, and captured details to the business client whose phone line was called.
- Respond to inquiries and schedule and conduct consultations.
- Monitor quality, troubleshoot issues, and improve the accuracy and safety of the Service.
- Comply with legal obligations and enforce our agreements.
We do not sell personal information, and we do not use the content of client call recordings for advertising.
How we share information
We share personal information only as follows:
- With the business client on whose behalf the Service answered your call. That client uses the information to run its operations, and its own privacy practices apply to its use.
- With service providers that support our infrastructure, such as cloud hosting, telephony, transcription, and analytics providers, under contracts that restrict their use of the data.
- When required by law, legal process, or a governmental request, or to protect the rights, safety, or property of HummingAgent, our clients, or others.
- In connection with a merger, acquisition, financing, or sale of assets, in which case we will require the recipient to honor this policy.
Data retention
We retain Site inquiry data for as long as needed to respond to you and maintain our business records. Call recordings, transcriptions, and summaries are retained according to the retention schedule agreed with the relevant business client and are deleted or anonymized when no longer needed, unless a longer period is required by law.
Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. To exercise these rights, email hello@hummingagent.ai. If your request concerns a call answered on behalf of one of our clients, we may refer your request to that client or work with them to fulfill it. You may also have the right to lodge a complaint with your local data protection authority.
Children
The Site and the Service are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
International transfers
We are based in the United States and may process information on servers located there and in other countries. Where required, we use appropriate safeguards for cross-border transfers of personal information.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the effective date above. Material changes will be communicated through the Site or by other reasonable means.
